You will never be asked for your credit card information by the staff of Essence Suites Rhodes, whether you are a visitor to our website, or a potential guest or guest.
Our payment methods for any amount are listed exclusively below, in the section entitled “Payments”.
No room reservation is made and no booking is considered final until payment has been confirmed or the advance payment for the booking has been confirmed.
The prices listed anywhere are understood and will be charged in EURO. They contain VAT and all taxes.
Room rates are per room, are for one night for two people of any age and do not include breakfast as well as all the goods, drinks, facilities and services the hotel promises from time to time as part of the hospitality it provides. Extra meals, drinks, products and services are only included if expressly agreed upon. Extra people, of any age, will be charged the same amount as provided by the Pricing, Payments and Cancellation Policy.
Minimum number of nights, deposit, cancellation fee, prepayment with or without cancellation fee, and other conditions may apply, if expressly stated.
When staying in a specific room, the number of people and nights, possible additional products and services, as well as the method of payment, the Hotel will contact you in writing to summarize the details of your reservation, charges and the required total or partial payment.
When the above payment is proven, the Reservation is confirmed by the Hotel and is a binding agreement.
Customers wishing to issue an Invoice for the cost of accommodation and / or other services and goods, are kindly requested to declare it upon Reservation, or, at the latest, upon arrival.
Our guests promise to inform us of their expected arrival time at least 36 hours in advance. This information is necessary for the more efficient organization of our program but also for the faster process of their reception.
Reservations for which have not been confirmed, will be valid until 16:00 on the day of arrival, in which case we will have the right to make the room available, unless our guest has informed us of a late arrival.
Unless explicitly stated in the Reservation confirmation, guests can check in on the day of arrival at any time between 14:00 and 22:00. In any case, provided that you inform us in time, we gladly accept your check-in at any time dictated by your arrival in Rhodes.
Delayed arrivals due to unexpected events must be notified to us no later than 23:00 on the day of arrival.
Those rooms that have been booked in advance or prepaid or for which there is a written correspondence with a travel agency will remain at the customer’s disposal until 23:00 on the day of arrival, unless otherwise agreed.
Guests are kindly requested to book their room by 11:00 on the day of departure, except late check out is included in our agreement. Departure from the room after 11:00 can be arranged if the room is available. The relevant charge is at the discretion of the hotel.
We are obliged to request from the Authorities at check-in confirmation and registration of the identity or passport details of the visitors, as well as the address of their permanent residence. For this purpose the demonstration of the above documents is required.
The same information must be provided for all persons staying with you. We have an obligation to deny entry to people who can not give us the above information. This information will be given only to the Greek Police and Tax Authorities and only if requested in accordance with the Law.
Some of the information and data will be stored on a secure server, protected by a firewall and accessible only by password. It will be used by the Hotel exclusively for its own statistical processing. No item or complete

We accept the following payment methods:
• CREDIT CARDS: only through e-commerce of Pancreta Everypay, WebHotelier and OTA.
• TRANSFERS: to a bank account of our company
• CASH: up to the amount of € 1,500, during your stay at the Hotel or upon departure.
We never ask our potential customers for their credit card information. If for any reason and in any way such information becomes known to us, it will not be stored.
The total amount due must have been paid by departure from the Hotel.

Cancellation Policy & No-Shows
Cancellation fees may vary depending on the price agreed upon booking and the time of year. Please be informed in detail at the time of your booking.
A charge for cancel or no show will only be made when required. The amount will be deducted from the amount of the deposit or prepayment. The collection of any excess amount, in case of refusal of payment, will be made after consultation or, if this is not possible, will be achieved by any legal means.
Amounts for bookings agreed without the right to cancel or change are prepaid upon booking in any of the above ways. In these cases, if there is a cancellation or no show, the Hotel keeps the full amount paid.
Changes or cancellations by the Hotel
If we are forced to cancel a confirmed booking, this decision will be due to exceptional circumstances, which could not have been foreseen. In this case you will be informed immediately, you will be refunded all the money paid and / or any charge made on your credit card will be withdrawn. Apart from this return the Hotel bears no other responsibility. We will make every effort to provide you with accommodation similar to ours and to offer you every facility.
Your reservation is for a specific suite. In the event that, for security reasons or technical problems, you are required to stay in a suite other than the one you have chosen, we will apologize in practice for the inconvenience. Of course, we will refund any difference if the suite you are staying at is cheaper, and you will not be charged extra if it is more expensive.
We have the right, which you acknowledge with your reservation and provide the relevant authorization, to charge and claim our compensation, for any damage caused to your room or the Hotel through the fault of the occupants of your room (including special cleaning and expenses). , laundry and laundry) or for any item whose loss is found by staff during your stay or after your departure. The collection of any amount, in case of refusal of payment, will be achieved by any legal means.
Events
Please note that your stay may coincide with an event, reception, wedding dinner, family or corporate gathering. In any case, it will be a limited number of people. We always make sure, if there is any inconvenience, that it is minimal for our guests who do not participate in this event. If you consider such an event during your stay to be undesirable, please contact us for more information.
Special Offers, Promotions, Booking Agreements
Offers and promotions are subject to availability and other, more specific terms, conditions and restrictions, which are listed on the Hotel website and elsewhere. We have the right to announce, modify and revoke at any time any offer, action or related program.
Before making a reservation, guests must make a reservation at the hotel which of the special offers, promotions and arrangements for the reservation they wish to make and at what day and time of the stay. their. We have the right to refuse the hospitality and the provision of services, but also to request the removal of anyone from the Hotel, if we reasonably consider that this term has been violated.
In the same case we have the right to seek in any legal way the protection of our reputation, customers and property as well as our compensation for any positive and negative damage, while we have no obligation to return money for hosting or services that we refused to provide, nor to pay any compensation.
Smoking is EXCLUDED IN ALL SUITES (INDOOR). There are no suites where any form of smoking or “steaming” is allowed.
Guests who use tobacco products and / or any of their substitutes in the suites clearly violate this and are liable for any positive or negative damage to the hotel, including loss of revenue.
If they persist in displaying this behavior, they will be asked to leave.
The Hotel is not designed to accommodate children. It does not have suitable spaces and does not meet the necessary conditions that would ensure the safety of children and the peace of the other guests.
It is therefore impossible to accommodate children under 17 years of age. Exceptions are reservations for the whole hotel and cases in which, exceptionally and for social reasons, the special circumstances and needs of a child must be taken into account.
In these exceptional cases, the person making the reservation has the ultimate responsibility for all matters concerning the safety and behavior of the children, but also for the peace that the rest of our guests desire.
Please also note that no discounts are provided for underage guests.
Pets at Essence Suites Rhodes will unfortunately not be accepted.
Personal Data, Security Cameras, Incoming Phone Calls
The Hotel operates in full compliance with the European General Data Protection Regulation (EU) 2016/679.
Cameras have been installed and operate only in public areas and on the facades of the Hotel. Incoming phone calls to the hotel (with the exception of those made to the rooms) are recorded. The recorded images and calls are used exclusively for quality and security reasons, are kept for 12 days, after which they are permanently destroyed, unless it is deemed necessary to maintain a specific recording for a longer period of time and for specific reasons.

Force Majeure
The Hotel is not responsible and will not pay compensation in cases where the fulfillment of its obligations is excluded or directly or indirectly affected by reasons of force majeure or other situations outside its sphere of control.
Limitation of Liability
The Hotel is not responsible for the loss or damage of valuables or money that are on its premises, unless they have been delivered to the Directorate for safekeeping and a relevant detailed and signed receipt has been issued.
The Hotel is not liable for any indirect or incidental damage of any kind, whether caused by the negligence of its employees or otherwise. The total compensation payable by the hotel will not exceed the total amount of the charge for the customer’s reservation, except in cases of injury or death due to negligence of the hotel.
Applicable Law & Competent Courts
The relations between the hotel, users of its website, visitors and guests as well as the obligations and rights related to them are regulated by Greek Law.
The courts of Rhodes have exclusive jurisdiction for the adjudication and adjudication of any relevant case. The parties irrevocably and unreservedly accept this competence and withdraw from any relevant objection.
